What This Video Covers

This tutorial shows how to use Bulk Actions in Matidor to update multiple projects, work items, budgets, and cost records at once. Bulk Actions are available in Table View inside All Projects and let you make changes across dozens of records without opening each one individually, saving significant time on routine project management tasks.

Who This Is For

This video is for project managers who oversee large project portfolios and need to make consistent updates across many records, operations leads who regularly onboard guest users to multiple projects at once, and any Matidor user who wants to keep their workspace clean and organized through batch archiving and bulk field updates.

Step-by-Step Walkthrough

To access Bulk Actions, navigate to All Projects and switch to Table View. Bulk Actions are only available in this view. Across the top you will see five tabs: Projects, Work, Budget, Cost, and Files. Each tab supports different bulk actions. Start by selecting multiple records using the checkboxes on the left of each row.

The Projects tab offers the most options. Manage Invitations lets you invite guest users (Guest Manager, Contributor, or Viewer) to all selected projects at once. Add to Portfolio adds selected projects into an existing manual portfolio in a single step. Set Parent Project turns selected projects into sub-projects for hierarchy organization. Batch Update lets you update project fields in bulk across all selected items, with options to keep existing values, set a new value, or clear the field entirely. All selected projects must share the same project template to use Batch Update. You can also archive all selected active projects at once when work on them is complete.

In the Work, Budget, and Cost tabs, Bulk Actions focus on one core feature: Batch Update. Select your rows, open Batch Update, and update fields efficiently across multiple records without editing them one by one. For Work items, all selected records must be from the same Work Template. The Files tab does not support Bulk Actions in Table View.

Key Takeaways

Bulk Actions in Matidor make large-scale project administration fast and consistent. Whether you are inviting guests to a new program, reorganizing your project hierarchy, pushing a field update across dozens of records, or cleaning up completed work, Bulk Actions in Table View handle it in seconds rather than minutes.
